Board Meeting Minutes - February, 2022

Vista Las Palmas Neighborhood Organization Board Meeting
Meeting Date: 2/10/22

Attendees: KermitF (Chair), SOrr, PatsyM (Vice Chair), GustavS, BrendaM, KevinC (Treas), JoeV (Sec)

Important Updates to Board Composition:

  • 2021 volunteer Board member Brenda Matthews resigned in February 2022 (She replaced 2020 Annual General Membership Meeting elected Board member John Vella who resigned in May 2021)

  • Three Board member vacancies in February 2022

    • Gustav re-joined the VLPNO Board in February 2022

    • Joe Vassallo volunteered to join the VLPNO Board in February 2022

  • Leaving one vacancy

*  Discussion about a Feb communication piece to the neighborhood
* Board Photograph Patsy: moved Board Photograph to Docent Thank You event on Saturday 5:30-7:30

* Treasury / Finance Report Kevin

* January Report: Balance at start of period $61,649, miscellaneous debits and credits, end of period balance approx. $60,000. – There will be t-shirts & coffee mugs for sale at MW2022 tour check-in. 

* MW Report: no change since last month. Kermit needs to get vendors to submit invoices. There will a change for insurance costs.

* MW2022 Kemit 

* Docent Assignments Steve  - Brenda needs to send Chris Metz contact info. 480 w via sol has extra docents assigned. 3 ppl per shift, 879 cam sur Bruce & Richard house needs docent balancing. Checkin assignments are light. Need 4 per shift (2 checkin + table sales), only 5 total assigned. Kevin will be there all day. Might be able to backfill with Malcolm, Patsy, Kermit, Joe. Possibilities: Scott & David for checkin sales desk
* Home Owner & Docent Training: Saturday, February 12th SOrr 

Docent co-ord, day of co-ord, homeowner co-ord

Covid 19 safety doc combined with others to make final 3 page doc. 

Steve and Kermit updated many items from mask signage to shoe covers. Brenda will ask docents to park far away and not take up parking near the subject house. Home owner needs to locate docent stations. Need a lead docent per shift.  Question about how food station will work. Who will staff it? Suggestion to skip docent food and offer officers food working all day. 

Steve will make board/docent/homeowner name tags for the lunch (12-1:30). Breakouts by house.

Kermit/Kevin/Brenda: discussed t-shirts, Brenda believes sponsor branding on back of t-shirts is a conflict from the policy that doesn’t allow advertising in the home. Modernism Week sponsors are always an exception to that policy. Brenda resigned from the board, but will allow docents in t-shirts based on Steve’s training. Question of what to do if docents don’t wear them. Board needs post-mortem re: sponsorships and needs to publish whatever the Sponsorship Policy will be for MW2023. Kermit will send a thank you to sponsors asking for their feedback.
